We are seeking a highly organized and proactive Administrative Assistant to support our growing programs and operations.
Position Overview
The Administrative Assistant will play a key role in supporting daily operations, program administration, communications, and organizational coordination. The ideal candidate is detail-oriented, adaptable, and passionate about community development and culturally responsive work.
Eligibility Requirements
This position is funded through the Canada Summer Jobs program. To be eligible, applicants must:

Be between 15 and 30 years of age (inclusive) at the start of employment

Be a Canadian citizen, permanent resident, or protected person under the Immigration and Refugee Protection Act

Be legally entitled to work in Canada in accordance with relevant provincial/territorial legislation
Please note: due to funding requirements, individuals on temporary work permits are not eligible for this position.
Key Responsibilities
Administrative & Office Support

Provide general administrative and clerical support to program staff and leadership.

Maintain organized digital filing systems and manage organizational documents.

Assist with scheduling meetings, coordinating calendars, and sending reminders.

Prepare correspondence, meeting summaries, and basic reports as needed.

Support financial administration including invoicing, expense tracking, and receipts collection.
Program & Event Support

Assist with event logistics, registrations, and communication with participants.

Prepare materials for workshops, meetings, and community programs.

Support volunteer coordination, sign-in management, and data entry.

Monitor program inquiries and direct messages to the appropriate team member.
Communications & Outreach

Manage general inbox inquiries and respond professionally and promptly.

Support newsletter distribution, social media scheduling, and community updates.

Assist with maintaining accurate contact lists and tracking stakeholder engagement.

Draft simple promotional materials or updates using tools like Canva (training can be provided).
Records, Reporting & Data Management

Maintain participant records, attendance lists, and program databases.

Assist in preparing summary reports for internal and external stakeholders.

Ensure confidentiality and proper handling of sensitive information.
Qualifications

Previous experience in administrative support, office coordination, or a related role (nonprofit experience is an asset).

Strong organizational, time management, and multitasking skills.

Excellent written and verbal communication abilities.

Comfortable using productivity tools such as Google Workspace, Microsoft Office, Slack, and Zoom.

Ability to work independently and collaboratively in a fast-paced, community-focused environment.

Familiarity with Canva, MailChimp, Slack, and ClickUp is an asset (or willingness to learn).

Passion for community development, cultural empowerment, and working with diverse populations.
